CoverCount Staff connects Claude to your venue's CoverCount account. Ask for a reservation briefing, check availability, move a booking to another table, send a guest an operational message, or review upcoming events. Access follows your staff role and the permissions you approve.
Before you connect
You need an active CoverCount staff account for your venue and a Claude account that supports connectors. Your Claude organization may require an administrator to enable the connection. Hosts, managers, and admins can use the reservation and guest messaging tools when authorized. Event financial summaries, event management changes, and cancellation refund recovery require a manager or admin role and the corresponding permissions.
Sign in with your own staff account. Each connection works with its authorized venue; it does not provide a directory of other venues or access to another staff member's account.
Connect CoverCount Staff
- In Claude, open Customize > Connectors.
- If CoverCount Staff is available in the directory, select it and choose Connect. If it is not listed, use Claude's custom connector option, where your account and organization allow it, with the name CoverCount Staff and this server URL:
https://mcp.covercount.io/mcp. - Follow the sign-in link to CoverCount and sign in to the staff account for the venue you intend to use.
- Review the requested permissions and approve the access you want to grant. Your existing staff role still limits what the connection can do.
- Return to Claude and ask: "Which CoverCount venue am I connected to, and what can I do?" Check the venue before requesting changes.
CoverCount handles your password on its own sign-in screen. You do not need to paste a password, API key, or access token into a conversation. The server URL above is for the connector setup field.
On Team and Enterprise accounts, an owner may first need to add the custom connector under Organization settings > Connectors. Once connected, enable CoverCount Staff for the conversation using Claude's connector controls. Claude's menus and connector availability can vary by account; see Anthropic's connector setup guide and custom connector instructions for current details.
What you can do
Reservations and tables
- Check availability for an experience, date, and party size.
- Find reservations and see their current table and room assignments.
- Get reservation totals, cover counts, largest parties, and recorded birthday or anniversary highlights.
- Create eligible reservations that do not require payment handling.
- Cancel an eligible reservation or change its date, time, party size, or tables within the same experience.
For example:
What do our reservations look like next week?
Check availability for four guests for the Estate Tasting tomorrow afternoon.
Find Alex Morgan's reservation tomorrow. Which table is it assigned to?
Move that reservation to table 12, keeping the date, time, and party size the same.
Use your actual experience, guest, and table names. Claude should clarify ambiguous matches before changing a booking. Availability checks do not hold inventory; CoverCount rechecks when saving. If a requested table is unavailable or too small, the change fails without silently choosing a different table. Date and time changes preserve the current tables by default when assigned; ask explicitly if you want available tables selected automatically.
Dates and times use the venue's timezone. For a briefing about "tonight," specify your evening service hours. Birthday and anniversary highlights reflect recorded guest information, which may be incomplete.
Guest messages
Ask Claude to draft or send one operational SMS to the current guest of a specific reservation. For example:
Draft a text for Alex Morgan's reservation tomorrow explaining that the entrance is on the north side.
A draft request does not send a message. When Claude drafts or edits the text, it must show the exact message and intended booking and get your confirmation before sending. An explicit request to send your own exact text already authorizes that text. Messages are limited to 320 characters. Recipient overrides, bulk messaging, marketing messages, and custom emails are not supported.
Event operations
Find event sessions, review registrations and ticket capacity, and summarize recorded check-ins. Authorized managers and admins can also view event financial summaries or prepare changes to an event series' visibility or a session's capacity.
Give me a briefing on next week's events, including registrations and recorded check-ins.
Prepare a capacity change to 40 tickets for Saturday's 2 p.m. Barrel Tasting session.
Event visibility and capacity proposals require your approval through the returned CoverCount review link. Claude can apply the approved proposal afterward. Changes to the session or inventory may require a fresh review. Recorded check-ins are not a guarantee of attendance, and event financial summaries describe the selected sessions rather than all payment transactions made during the period.
Understand approvals and action status
Reservation creation, cancellation, and modification run when you request them and the required details are clear. They do not use a separate CoverCount approval link. For cancellation, specify whether you want eligible guest notices sent. Reservation modifications do not send an immediate notice.
Event visibility changes, capacity changes, and recovery of an existing cancellation refund require review in CoverCount by the original requester. Refund recovery applies only to the refund already selected when a booking was cancelled; it cannot create a discretionary refund or change its amount.
A completed booking is separate from message delivery, customer synchronization, or refund processing. A queued message is not necessarily delivered, and a recorded refund recovery request does not mean money has been returned. If an outcome is pending or uncertain, ask Claude to check the original action's status. Do not ask it to repeat a successful booking or send another message to resolve an uncertain outcome.
When to use the staff app
Use the CoverCount staff app when a booking requires payment handling, a modification is blocked by a pending guest request, or the connector reports that the action is ineligible. Do not cancel and rebook to bypass a rejected modification. The connector does not sell event tickets or provide bulk guest communications. Scheduled briefings require scheduling support in the assistant you use; connecting CoverCount Staff does not create a schedule.
Permissions, privacy, and disconnecting
The connector can share authorized reservation, guest, table, and event information with Claude to answer your requests. Reservation reads include guest names and booking details, but exclude contact details, private notes, and payment details. Event financial summaries require separate permission. Information you provide for a booking or message is used to carry out that action.
To revoke access, open Profile > Connected apps in the CoverCount staff app, select the connection, and choose Disconnect, then Confirm disconnect. You can also remove the connector in Claude. Revoking access stops future access through that connection; it does not undo completed bookings or messages, or remove information already shared into a conversation.
Read the CoverCount privacy policy and terms of service. Your use of Claude is also subject to Anthropic's account and data controls.
Troubleshooting and support
- Sign-in link expired: Start the connection again from Claude to get a fresh sign-in request.
- A tool is missing or access is denied: Check your staff role, approved permissions, and connected venue. Reconnect if you need to grant additional access; ask your venue admin about role restrictions.
- The wrong venue appears: Stop before making changes and reconnect with the correct venue's staff account.
- Tables or availability changed: Ask for fresh availability or table options and choose an eligible alternative.
- An action timed out or is pending: Ask for its original status. If the result remains uncertain, use the staff app or contact support before attempting another action.
- You need help connecting: Contact CoverCount support with the error message, approximate time, and which step failed. Do not include passwords or access tokens.
