Set event dates and times

Add one or more concrete Event times, set per-time capacity, and review the schedule before publishing.

Every CoverCount Event is saved as a series. The series holds the shared event details, while each time has its own date, start time, optional end time, capacity, tickets sold, attendee list, and check-in status.

A series can have one time or many. A one-night dinner might have one time. A release pickup party might have 11:00 a.m. and 2:00 p.m. times under the same public event.

Add The First Time

Start with the first time guests can choose. Enter:

  • Date
  • Start time
  • Optional end time
  • Ticket capacity

Use the event default capacity when every time should use the same limit. Use a custom capacity when a particular time has fewer or more seats. Leave capacity unlimited only when the event truly does not have a ticket cap.

Add More Times

Use Add another time when guests should choose from more than one arrival window.

Good fits:

  • Pickup party at 11:00 a.m. and 2:00 p.m.
  • Barrel tasting sessions at 10:00 a.m., noon, and 2:00 p.m.
  • Dinner seatings at 5:00 p.m., 5:30 p.m., 6:00 p.m., and 6:30 p.m.
  • A release weekend with different dates and times

Set The Time

Set the start time guests should plan around. Add an end time when it helps guests understand the event window.

Examples:

Open-house tasting 12:00 PM 4:00 PM

The start time drives registration cutoff timing and reminders. Make sure it reflects the actual guest arrival expectation.

Review The Times

Before saving, review:

  • The number of times
  • Each date
  • Each start time
  • Each end time, if used
  • Each capacity
  • Whether any duplicate date/time rows should be removed

This review matters most for multi-session events. A small time mistake can create a public registration choice guests did not intend to buy.

Editing Times Later

Small date and time edits are easiest before any tickets are sold. Once registrations exist, changes may be blocked so paid attendees are not silently displaced.

Before changing a live event:

  • Check whether the time already has tickets sold.
  • Increase capacity if more guests can fit.
  • Do not reduce capacity below tickets sold.
  • Do not change the date or start time for a sold time.
  • Cancel the time if the schedule is fundamentally wrong.

Keep Drafts Hidden

Keep the event hidden while the schedule is still being reviewed. After times are final, test the event page and registration flow before switching visibility to public or unlisted.
